Financial Details in Members Area

MI3 offers a very powerful and flexible interface for customers to be totally self sufficient in querying their bills, printing copies of any previously received invoices or receipts. They may also print their own statements against a configurable time period, this being ideal for year-end reporting for customers.

MI3 also offers a secure and robust payment gateway interface thereby enabling customers to make payments online for any outstanding invoices. Full payment or part payment of the invoices may be made.

However, MI3 has been specifically restricted such that customers cannot manually allocate part payments to several outstanding invoices. A strict policy of allocating payment to the oldest invoice first is enforced through MI3. Should the customer wish to make a part payment against a specific invoice, they will have to contact the service provider and the service provider's admin staff will enter this against the customer's account in the Payments section of MI9. This provides the service provider an opportunity to query the customer's reasons for wanting to only make a part payment.

The screen below shows the menu structure associated with the Finances section of MI3 and includes:

  • Invoices
     
  • Receipts
     
  • Statement
     
  • Bill Payment

Invoices

On selecting the Invoices menu item, a full list of all invoices saved in CentreBill against the customer is displayed. For each invoice, the following is shown:

  • The option for the customer to select the invoice date range to be viewed
     
  • A bar chart of the last twelve-month's, or selected time period, total invoiced value (automatically scaled)
     
  • The invoice number with a hyperlink directly to view an exact copy of the invoice they would have previously received (see example below)
     
  • The date the invoice was generated
     
  • The due date of the invoice
     
  • The total invoice amount
     
  • The outstanding balance against the invoice still to be paid

The customer may print an exact copy of the invoice they would have received. However, the aged balances on the top of the invoice printed will reflect the actual values at the time of printing.

Receipts

The customer may view all receipts saved in CentreBill in the same way as they view Invoices. The screen below shows:

  • Receipts may be listed for a predefined time period
     
  • The receipt number with a hyperlink directly to view an exact copy of the receipt they would have previously received, typically by email (see example below)
     
  • The "type" of the receipt; cash, check, direct deposit, credit card, sales credit, bad debt, etc
     
  • The check number against check payments or the last four digits of the customer's credit card number displayed as #### #### #### XXXX
     
  • The date the payment was received
     
  • The amount of the payment received

The customer may print an exact copy of the receipt they would have received.

Statements

The customer may view a full statement of all transactions stored in the CentreBill database online at any time. This facility is extremely useful for customers wishing a full reconciliation of their annual financial transactions with the service provider at year-end and saves the service provider considerable time (and expense) when dealing with such customer requests.

CentreBill's MI3 includes the following functionality:

  • The statement period may be adjusted to meet the customer's needs
     
  • An Aged Balances summary is displayed showing the customer's current account status
     
  • A chronologically ordered list of financial transactions is displayed
     
  • The transaction reference is listed with a hyperlink to the transaction itself (invoice or receipt)
     
  • The date of the transaction
     
  • Whether the transaction was a debit or a credit
     
  • The account balance as at the end of each transaction (ideal for reconciliation purposes)

The customer may print a statement at any time.
